By reserving with us, you acknowledge and agree to the following terms and conditions.
Booking Process
Form Submission
Complete the required reservation form, providing accurate details such as passport information and preferred trip dates.
Ensure your passport is valid for at least six (6) months beyond the travel date (this requirement may vary by destination).
Deposit
A non-refundable deposit of 30% of the total trip cost is required to confirm your booking.
This deposit secures your spot and allows us to arrange permits, accommodations, and other logistical elements on your behalf.
Balance Payment
The remaining 70% balance is due upon arrival in Nepal before the trip commences.
Payment timelines may vary in special cases or for certain destinations; any such differences will be communicated in writing.
Payment Methods
Direct Bank Deposits: Please follow the bank details provided in your booking confirmation.
Credit Card Payments (Visa or MasterCard): A 4% surcharge covers merchant processing fees.
Always include the booking reference or invoice number when making payments.
Cancellation and Changes
Notification Requirement: Written notification (email or official letter) must be provided at least 10 days before your scheduled arrival in Nepal for any cancellation or change requests.
Cancellation Fee
A fee of 30% of the total trip cost will be deducted from your advance payment if you cancel at least 10 days before arrival.
No refunds are provided for cancellations made less than 10 days before the trip start date.
Refunds
Once the trip has commenced, no refunds will be issued for any unused portion of the itinerary (e.g., meals, accommodations, or activities not utilized).
Special Circumstances
In cases of death, severe injury, illness, redundancy, or jury service, you may request a postponement or transfer of your trip to another person.
All such requests must be submitted in writing and subject to company approval and applicable administrative fees.
Destination-Specific Policies
Nepal
Passport Validity: A minimum of six (6) months’ validity is required.
Visa:
Visas can be obtained upon arrival at Tribhuvan International Airport in Kathmandu.
You may also secure a visa in advance from a Nepalese embassy or consulate in your home country.
Bhutan
Advance Booking:
Reservations must be made at least 30 days in advance, along with a 40% deposit of the total trip cost.
Last-Minute Bookings: It may be possible under certain conditions. Please contact us for details.
Cancellation Policy:
No cancellations, postponements, or transfers are permitted once the booking is confirmed.
No refunds will be offered for unused services (e.g., accommodation, meals, tours).
Visa Process:
Passport details must be provided to Alpine Luxury Treks Pvt Ltd at least 45 days before arrival to secure the necessary visa and permits.
Tibet
Cancellation Notice:
Written notice must be provided at least 20 days before departure to receive a 50% refund of the trip cost.
Transfer/Postponement:
Possible with prior approval from Alpine Luxury Treks Pvt Ltd.
The new traveler must meet all visa and travel requirements for Tibet.
Passport and Visa:
The passport must have at least six (6) months’ validity remaining.
A valid Chinese visa is required in addition to specific Tibetan permits.
General Agreement
By booking with Alpine Luxury Treks Pvt Ltd, you acknowledge that you have read, understood, and agreed to these terms and conditions.
These policies are in place to ensure clarity and mutual understanding of the booking process, payments, and potential cancellations.
We reserve the right to update or modify these terms without prior notice if required by local regulations or operational considerations.
Any changes will be communicated to you in writing as soon as they occur.
